Logistics Coordinator - Procuremnt (Woodmead)

The company operates in the fast-moving trade and logistics space, ensuring goods move smoothly from warehouse to customer. This is a great opportunity to join the Procurement department and play a hands-on role in keeping daily operations running efficiently.

You’ll work closely with suppliers, transporters, and internal teams to make sure shipments stay on track and any issues are quickly resolved. The ideal candidate is highly organised, detail-oriented, and comfortable managing multiple shipments and deadlines at once.
Key responsibilities
Logistics & Shipment Coordination
- Coordinate inbound and outbound shipments with suppliers, transporters, and clearing agents.
- Ensure shipments are planned, scheduled, and executed according to delivery requirements.
- Monitor lead times and proactively address potential delays.
Warehouse Management
- Coordinate receiving, storage, and dispatch of goods in line with warehouse procedures.
- Ensure accurate stock movement, space utilization, and FIFO principles.
- Liaise with warehouse teams to resolve stock discrepancies and operational issues.
- Support stock counts and audits as required.
Insurance Management
- Arrange and manage insurance cover for shipments where applicable.
- Ensure insurance documentation is accurate and filed correctly.
- Manage insurance claims in the event of loss, damage, or shortages.
Payment Management
- Verify logistics-related invoices (freight, warehousing, inspections, and related charges).
- Ensure costs align with agreed rates and contracts.
- Submit payment requests timeously and follow up on outstanding payments.
- Resolve payment-related queries with service providers and internal finance teams.
BV (Bureau Veritas) Inspection Management
- Coordinate BV inspections in line with shipment and compliance requirements.
- Ensure inspection bookings, documentation, and reports are completed timeously.
- Follow up on inspection findings and resolve non-conformances where applicable.
Tracking & POD (Proof of Delivery) Management
- Track all shipments from dispatch to final delivery.
- Ensure Proof of Delivery (POD) documents are received, verified, and filed.
- Provide shipment status updates to internal stakeholders as required.
Record Keeping & Documentation
- Maintain accurate and up-to-date logistics records, including shipment files, invoices, PODs, insurance documents, and inspection reports.
- Ensure documents are filed according to company and audit requirements.
- Support internal and external audits when required.
Query Resolution
- Act as the first point of contact for logistics-related queries.
- Investigate and resolve delivery issues, shortages, damages, and discrepancies.
- Communicate clearly with suppliers, transporters, and internal departments to ensure timely resolution.
Experience and qualifications
- Grade 12
- Proficiency in MS Office (MS Excel)
- Strong coordination and organizational skills
- Excellent attention to detail and accuracy
- Strong communication and follow-up skills
- Ability to manage multiple tasks and deadlines
- Problem-solving and query resolution skills
- Cost awareness and basic financial understanding
